Now with the pandemic under control, in-person events have once again gained more strength than ever. However, the problem of real operation and information about what happens in them is a problem for companies that invest large amounts of money hoping it will bring more customers. SONDIEVENT is the tool from the AISerNet SONDI family that will end this problem. Issues with the registration of its participants, the disparity between the agenda and reality, the little or no information that the sponsors of the event have about the participants and the annoying “suitcase” of business cards that a participant takes from an event to then ending up in the trash basket, are some of the inconveniences that occur in the operation of an event.
Below, it will be shown schematically how SONDIEVENT plans to change the perspective of the results of the events:
The first thing a participant faces when arriving at an event is registration. Generally, at events with a large volume of people, this is a problem. You have to stand in endless lines so that at the end you are verified in a database and given a badge with your name that is barely legible and that generally no one sees and with every possibility of forgetting it or losing it at a dinner or leaving it in the hotel.
For this first drawback, SONDIEVENT offers an automated registration, where the SONDIEVENT pre-registration sends push messages to the participants and since there is already a pre-registration in the SONDIEVENT database, this allows the process to be done without lines. This is done through IoT, since those before SONDIEVENT also receive the connection of the event beacons. Once the participant has pre-registered on the platform and opens the welcome message, with a video from the event organizers, a screen of the SONDIEVENT application opens.
This will ask you to enter the credentials used in your initial registration. SONDIEVENT will compare them and once it is certain that you are a participant and all the organizer’s rules are in order, you will be allowed to pick up a beacon (SONDIEVENT handle) to activate it. No lines, no delays, everything automated. This will save large amounts of money for logistics personnel who must do manual registration and print badges. This also contributes to the environment by significantly reducing paper and prints.
Once you activate the handle, it will become your digital ID for the entire event. Through this handle you can enter the activities you have scheduled, or if applicable, reschedule the ones you already have.
Another challenge that SONDIEVENT helps to overcome is the real participation of the participants. Statistically, it is known that more than 60% of the participants do not comply with the pre-scheduled agenda and at the time of the event, they change sessions, conferences or, in the worst case, do not attend the scheduled conferences.
This is a huge problem for the company organizing the event and especially for the marketing and sales team, because after the event follow-up and sales action plans are scheduled that “attack” the tastes of the participants based on what they supposedly they wanted to see in the conferences scheduled for the event.
To solve the problem described above, SONDIEVENT monitors the participants using antennas placed in each of the spaces where each conference will be given. In this way, SONDIEVENT connects with each of the participants through the handle based on an Internet of Things (IoT) strategy. Likewise, the participant can see the actual occupancy of each of the conferences and know whether or not they can enter an establishment where a conference is being given. Another problem that SONDIEVENT solves is that of the sponsors’ stand. Each of the sponsors, generally within an event, has a space in which they serve the participants and show them the products and services they offer. However, these sponsors have no knowledge of the event participants and on many occasions sales opportunities are lost by not having a speech directed to each person. Through SONDIEVENT it is possible for each of the people who are at the stands to know the needs and tastes of the participants in such a way that they can quickly offer the services that an event participant may be looking for. This is done because each of the participants through The handle they are using at the event communicates with the applications that the sponsors’ vendors have at their booth. Thus, SONDIEVENT quickly searches for the person before the talk begins and can offer quick information to the seller such as the name of the company where they work and even the interest that person has in the event.
